A hosted creator trip looks simple on a moodboard and gets complicated the moment thirty people land at IBZ on three different flights. Someone has to source a villa big enough for the roster that is also cleared for a music cut-off, a pool shoot and load-in. Someone has to meet every arrival, collect dietaries and riders, build a run-of-show that actually leaves room for golden-hour shots, and keep a BTS crew briefed to stay out of each creator’s frame. We are the production desk for that — the same desk that runs our fashion campaigns, applied to a hosted group. We do not find or hire the creators; the brand brings them and owns the marketing. We produce the trip on the ground, from arrivals to wrap.


What we handle end-to-end

Villa and finca base

Off-market houses sized for a hosted creator group — Santa Gertrudis fincas, places out toward Sant Joan in the northeast — booked owner-direct, not through a holiday portal. Each one pre-cleared for music cut-off, pool, load-in route and pop-up branding. Hotel overflow lined up when the roster runs bigger than one house, with The Standard, Ibiza as one option for the spillover.

Arrivals and transfers

IBZ airport meet-and-greet on staggered flights, branded group transfers to the house, welcome packs in the room and check-in handled for the whole roster. If part of the group lands the night before, we hold hotel rooms and run a second transfer the next morning so nobody waits at the kerb.

Day-by-day itinerary

A run-of-show built around content windows, not against them — golden-hour and sunset shoots, beach-club afternoons at Es Cavallet and the Ses Salines clubs, a dinner in Dalt Vila, a day-trip to Formentera on the La Savina ferry from Eivissa, and downtime that still photographs. The brand owns the concept; we make sure every block has the light, the access and the time to actually shoot it.

Talent handling and RSVP

Creator outreach tracking, flight and rooming manifests, dietary and rider collection, and a dedicated host and runner on the ground for the whole trip. NDA and usage-rights paperwork collected before wheels-up so the content the brand commissions is cleared to use. We handle the logistics around the talent — we are not the agency that books them.

Per-creator content moments

Staggered set-pieces so every creator gets a distinct shot, not thirty people in the same frame. A shot map agreed with the brand ahead of the trip, props and styling support on site, and the schedule built so two moments are never fighting for the same light. The output is theirs to post; we make sure each one has a frame worth posting.

Embedded BTS crew

A photo and video team on the ground from the first arrival, briefed to stay out of each creator’s frame. Same-day assets from the trip delivered nightly, with a recap edit cut fast after wrap — the on-the-ground BTS layer, not the content-production day itself. If you already have a content team, we slot the BTS crew around them and hold the run-of-show access instead.

Permits and ground rules

Ajuntament private-event and music-derogation filings, beach-club and Parc Natural de Ses Salines access permits, and courtesy notifications to the Policía Local and Guardia Civil. Filed in-house, in Catalan and Castellano, on our letterhead. Ajuntament lead time 14 days, Parc Natural de Ses Salines 21 days, private-venue music derogation 10 days.

Catering and back-of-house

Allergen-mapped per guest from the dietaries collected at RSVP, with crew catering run separately so the floor never picks up a second service. Drivers, runners and floor staff are on the roster and under NDA. Don’t see your piece of it? Ask us.

Brief

One call to scope the roster size, the dates and the concept the brand is bringing. We send a villa or finca shortlist sized for the group inside a week, file the Ajuntament private-event permit and music derogation, and open the dietary and rider audit. We do not chase a permit inside 14 days if we can help it.

Recce & lock

Day-by-day run-of-show shared with the brand and built around the content windows. House walked with the host, the BTS crew and catering. Transfers, drivers and suppliers locked. Shot map agreed so every creator has a distinct moment, and a wet-weather plan pinned for the outdoor blocks.

Arrivals

Rooming and flight manifests finalised, welcome packs in the rooms, IBZ meet-and-greet briefed against the staggered flights. BTS call sheet out so the crew know the shot map and the no-fly frames before the first creator lands. NDA and usage-rights paperwork confirmed collected.

House returned the day after the trip. Social-cut delivered nightly through the trip, the recap edit cut fast after wrap so the brand has the full set while the trip is still live. Suppliers paid, thanked and on the referral list, and the usage-rights pack handed over clean.

What is the difference between an influencer trip and a creator event in Ibiza?

An influencer trip is the multi-day, hosted version — the roster flies in, stays at a villa or finca base, and works through a day-by-day itinerary of content windows before flying out. A creator event is the single set-piece inside or alongside that — a dinner, a beach-club afternoon, a pool moment. We produce both as one job — the arrivals, the base, the itinerary and the content moments — because on the ground they run off the same manifest and the same host.

Do you source the villa, or do we book the house and you produce around it?

Either way works. We source off-market houses sized for a hosted creator group — Santa Gertrudis fincas, places out toward Sant Joan — booked owner-direct and pre-cleared for music cut-off, pool, load-in and pop-up branding. If you have already booked a house, we produce around it and flag anything that will bite, like a noise cut-off or a load-in the owner has not mentioned. The villa and location library sits on our location-scouting side, which is the better place to start if you want the base first.

How many creators can you host on one trip?

It scales with the house. A single villa or finca comfortably bases a mid-sized roster; for a bigger group we add hotel overflow nearby, with The Standard, Ibiza as one option, and run a second transfer for the spillover. The thing that decides the cap is not headcount, it is content — past a certain size the itinerary stops giving every creator a distinct moment, so we will tell you honestly where a roster gets too big for one base and propose a split if it does.

Can you handle airport transfers and arrivals for the whole group?

Yes. We meet the roster at IBZ on staggered flights, run branded group transfers to the house, put welcome packs in the rooms and handle check-in for the whole group. If part of the roster lands the night before, we hold hotel rooms and run a second morning transfer so nobody is waiting at the kerb. The flight and rooming manifest is built and reconciled in the run-up so we know who lands when, and on which flight.

Do you build the day-by-day itinerary, or do we bring it?

The brand brings the concept; we build the run-of-show around it. That means slotting golden-hour and sunset shoots, beach-club afternoons, dinners and a possible Formentera day so each block actually has the light, the access and the time to shoot. We pin a wet-weather plan for the outdoor blocks and leave downtime that still photographs. If you arrive with a fixed itinerary, we pressure-test it against permits and travel times and tell you what will and will not fit.

Can you make sure every creator gets their own content moment instead of the same shots?

That is the point of the shot map. We agree it with the brand ahead of the trip and stagger the set-pieces so two moments are never fighting for the same light or the same backdrop. Props and styling support are on site, and the schedule is built so each creator gets a distinct frame rather than thirty people in one. What they post is theirs — we make sure each one walks away with something worth posting.

Do you embed a BTS crew, and how fast do we get usable social clips?

We embed a photo and video team from the first arrival, briefed to stay out of each creator’s frame. Social-cut vertical lands nightly, so the brand has same-day assets in Reels, TikTok and YouTube Shorts formats while the trip is still live, and a recap edit is cut fast after wrap. We describe what we deliver rather than promise view counts — the numbers are the brand’s to own. If you already have a content team, our BTS crew slots around them.

Do you handle the permits and the local ground rules for a hosted event?

Yes, in-house. Ajuntament private-event and music-derogation filings, beach-club and Parc Natural de Ses Salines access permits, and courtesy notifications to the Policía Local and Guardia Civil, filed in Catalan and Castellano on our letterhead. Lead times run 14 days for the Ajuntament, 21 days for Parc Natural de Ses Salines and 10 days for a private-venue music derogation, so the earlier the dates land with us, the cleaner the filing.
