Fashion events in the Balearics look easy on a Pinterest board and difficult on a Thursday. The island has a handful of generic event-production shops and none of them speak fashion. They will light a wedding beautifully and miss the photographer’s sightline. They will cater a corporate offsite with no per-guest allergen mapping. The Ajuntament permit desk closes at 14:00. The Parc Natural de Ses Salines wants your guest manifest seven days out. The villa you booked on a holiday portal has a 22:00 music cut-off nobody flagged. Venue Sourcing
Off-market Santa Gertrudis fincas, private estates in Deià, Dalt Vila courtyards, Es Cavallet beach clubs, Palma rooftops. Booked owner-direct, not through holiday portals. Every venue pre-cleared for photography, music cut-off, load-in route and fire safety.
Permits
Private-event permits, public-space permits, noise derogations, beach-access permits and the courtesy call to the local police captain. Filed on our letterhead, in Catalan and Castellano. Ajuntament lead time 14 days, Parc Natural de Ses Salines 21 days, private-venue music derogation 10 days.
Back-of-House & Catering
Chef-led menus, allergen-mapped per guest, natural-wine pairings on request, vegan, vegetarian, gluten-free, halal, kosher and shellfish-free run cleanly in parallel. Crew catering run separately so the FOH linen never picks up a second service.
BTS Content Crew
Fashion-context video and photography team embedded from call time. Social-cut delivered end of event, long-form BTS reel delivered within 48 hours. Briefed on the main photographer’s sightline map so we never cross-frame.
Talent & RSVP Management
Editor outreach, talent handling, car transfers from IBZ and PMI, confidential seating charts, late-RSVP triage, VIP greenrooms. Riders confirmed T-3, dresser access controlled, wrap-cars at set time. NDAs signed by every driver, runner and service hand on the roster.

Recce & Lock
Minute-by-minute run-of-show shared with the brand. Site recce walked with chef, gaffer, florist and BTS crew. Suppliers locked — rentals, linen, sound, light, car transfers. Plan-B indoor contingency pinned with load-in time if weather changes.
Load-in
Load-in begins 72 hours out. Linen press, floral, lighting pre-rig. Guest-list reconciliation finalises at T-2. BTS call sheet out at T-3 so the content crew know the sightline map before the room fills.
Wrap
Venue returned by day one post-event. Social-cut delivered end of night. BTS long-form reel and press stills pack delivered within 48 hours so the PR team has embargo-day assets. Suppliers paid, thanked, on the referral list.

What guest sizes do you typically produce for fashion events?
Four bands cover most briefs — intimate editor dinner (12–40 seated), press preview and capsule showing (40–120), brand launch and resort reveal (120–400), public pop-up or runway (400+). The sweet spot for a fashion brand on the Balearics is 40–120, where a Santa Gertrudis finca or a Dalt Vila courtyard runs cleanly with one service team.
Do you have venue access, or do we need to source first?
We source. The location library covers fincas across Santa Gertrudis and San Lorenzo, Dalt Vila private courtyards, Es Cavallet beach clubs, Deià estates, Palma rooftops, Tramuntana mountain houses and Formentera private bays — owner-direct, not holiday-portal listings. We will send a venue shortlist inside a week of the brief, with photography, capacity, music cut-off, load-in route and permit status per venue.
Do you handle permits for private events on beaches and in the Parc Natural?
Yes. Private-event permits via the relevant Ajuntament (Eivissa, Sant Josep, Sant Antoni, Santa Eulària, Palma, Deià, Sóller), music-derogation permits for live performance past 22:00, Parc Natural use-permits for Ses Salines and Serra de Tramuntana, private-beach-access permits, and courtesy notifications to Guardia Civil and Policía Local. Lead times — 14 days Ajuntament, 21 days Parc Natural, 10 days music derogation. We file in Catalan and Castellano on our letterhead.
How do you handle dietary-strict catering for fashion guest lists?
Per-guest allergen mapping, not a blanket vegan option. Dietaries collected at RSVP, cross-checked at T-5, then each guest’s requirements run in parallel off the same kitchen. Natural-wine and low-intervention pairings on request. Crew catering runs separately so the FOH linen never picks up a second service.
Can you embed a BTS content crew, or do we bring our own?
We embed. A fashion-event BTS package typically covers photography, video, and a producer with editorial context, starting from call time. Social-cut vertical delivered end-of-event, long-form horizontal reel within 48 hours, press-stills pack on-embargo. The BTS crew is briefed on the main photographer’s sightline map so we do not cross-frame. If you already have a BTS agency, we slot in and handle run-of-show access instead.
How do you handle talent management for models, DJs and editors?
Car transfers pre-booked from IBZ, PMI or BER, driver confidentiality briefed, riders confirmed T-3, greenrooms specced (light, mirror, rail, snacks, charger, dietary-matched catering), dresser access controlled, wrap-cars at set time. Editor handling is lighter but the same logic — car, hotel check-in, dinner seat pre-assigned, car home. NDAs signed by every driver, runner and service hand on the roster.
Do you handle the opening-night event around a pop-up, or the physical build too?
On this desk we handle the guest-event layer — the opening night and any press or editor moment around a pop-up. That means guest list, run-of-show, BTS content, catering and the event permit, the same as any fashion event we produce. The physical build of the pop-up itself — fabrication, the venue takeover, power, rigging, back-of-house and the commercial-activity licence — runs through our brand activations in Ibiza desk, so the two layers sit under one producer without us claiming retail fit-out on this page.
How do you handle confidentiality on fashion event briefs?
NDA by default before any venue photography, guest list, or run-of-show leaves our drive. Pre-release campaign and event assets are kept off cloud-shared drives. Portfolio attributions are on request by default, which is why most of our tiles read as brand-only rather than naming full creative teams. We counter-sign yours or use ours.
