A multi-market activation looks like one job on a deck and turns into three on the ground. Most agencies end up briefing a different supplier per island, re-explaining the format each time, and reconciling three invoices that never quite line up. The Ajuntament licence desk in Ibiza works on its own clock. The Consell de Mallorca wants the commercial-activity paperwork weeks out. The ferry from BCN sets the freight window, and a stand built for Palma still has to fit a Formentera beach track. We file with the relevant Ajuntament, the Consell de Mallorca and Demarcación de Costas en Illes Balears, and make the courtesy call to Policía Local and Guardia Civil.

Build, fabrication and set

Pop-up structures, branded stands, signage and dressing sourced and built on the islands so nothing ships twice between markets. One build spec, reproduced locally per island, so the activation reads the same in Palma as it does in Ibiza town.

Production crew and on-site staff

English-speaking production manager, build crew, brand ambassadors, hosts and security drawn from island rosters and scaled to each activation. The same producer carries the brief across markets so the crew is briefed once, not re-onboarded per island.

Logistics, power and transport

Inter-island freight by ferry, generators sized to the site, rigging, and trucks sized for island roads and beach tracks. Kit moved between Ibiza, Mallorca and Formentera on one plan, timed to the BCN ferry window so a build lands when the crew does.

Catering and hospitality

Per-guest dietary mapping for dinners, press previews and VIP hosting, run in parallel off one kitchen. Crew catering kept separate so the guest service never picks up a second seating.

BTS and social content

An embedded photo and video team delivering a same-day social cut and a longer-form recap, briefed not to cross the main camera. The content crew travels with the activation so the look is consistent across every market.

Multi-region coordination

One producer holds the brief across the islands and the Berlin leg on request, so the format the brand signs off in Ibiza is the format that lands in Mallorca and Formentera. The desk does the per-market coordination — licences, sites, freight windows — rather than the brand re-onboarding a supplier each time the rollout moves.

Brief

One call to map the markets, the dates and the activation format. We tell you which islands the format works on, what each Ajuntament needs and how the BCN ferry window shapes the build calendar. Lock

Sites booked owner-direct, licences and use-permits filed per island, build spec finalised and freight plan pinned to the ferry calendar. Crew, on-site staff and the content team are confirmed against the run-of-show for every market, with a weather contingency held for the open-air sites.

Build

Local build crew assembles the stand or pop-up on each island from the same spec, so nothing ships twice. Power, rigging and signage go up against the load-in route cleared at recce. The producer walks each site before doors so the activation reads the same in Palma as it did in Ibiza.

Run and wrap

On-site staff run the activation, the content crew captures it, and the same-day social cut lands that night. Sites are struck and returned, kit is freighted back on one plan, and the longer-form recap follows so the brand has assets while the activation is still live in the next market.

We are a fashion and brand-experience producer, not a corporate-events shop, so the desk handles the physical side of an activation — the venue, the licence, the build, the on-site crew, the inter-island freight and the BTS social cut — rather than selling strategy slides. The point is simple. You brief one producer, and the format you sign off carries between markets without re-onboarding a separate supplier each time the rollout moves.

Most activation suppliers in Spain are single-city or directory listings, which means an agency running a multi-market rollout ends up coordinating three of them. We work the other way. The same producer who runs an activation in Ibiza files the island-specific Ibiza activation permits, books the Palma site and clears the Formentera beach with Costas, then freights one build between them on the BCN ferry window. Where the brief is a campaign shoot rather than a build, that sits with our Spain production services. Where it is a seated guest-list event, that is event production.

An activation rarely stays on one island, and the markets rarely line up neatly. A launch that opens in Ibiza often picks up a press date in Palma and a beach sampling stand on Formentera a week later, each with its own permit and its own load-in but billed together. What permits does a brand activation in the Balearics need, and how far ahead do we file?

Most activations need an Ajuntament private-event or commercial-activity licence, a music derogation if there is amplified sound past the local cut-off, and a use-permit if the site sits in a Parc Natural or on a beach cleared through Demarcación de Costas en Illes Balears. Typical lead times are 14 days for the Ajuntament licence, 21 days for a Parc Natural use-permit and 10 days for a music derogation. We file in Catalan and Castellano per island and make the courtesy call to Policía Local.

Can you handle a pop-up build and fabrication locally, or does everything have to ship from the mainland?

We build locally on each island. The stand, signage and dressing are sourced and fabricated on Ibiza, Mallorca or Formentera from one spec, so nothing ships twice between markets. Where a piece does have to come from the mainland, it travels once on the BCN ferry and is timed to land when the build crew does. Building locally keeps the freight light and means a structure made for Palma can be reproduced for a Formentera beach track without a second crossing.

Do you source the venues, or do we need a beach club or hotel locked before we brief you?

We source them. The desk covers beach clubs, fincas, hotels and public space across the islands, booked owner-direct rather than through holiday portals. We send a shortlist inside a week of the brief, each site pre-cleared for build access, power draw, the music cut-off and the load-in route. If you already have a venue locked, we slot in around it and handle the licence, the build and the on-site crew from there.

What are the realistic lead times for an activation in Spain during the summer season?

Summer is the tight season on the islands, so the earlier the better. The permits set the floor — count 21 days for a Parc Natural use-permit and 14 for an Ajuntament licence — and venue availability sets the ceiling, since the good beach clubs and fincas book out months ahead in July and August. A multi-island rollout wants more runway again because of the ferry freight window. We will tell you on the first call whether the dates are workable or whether the format needs reshaping to fit.

Can you add a Berlin leg to a Spain activation, and how does that work?

Yes, on request. Berlin is a separate leg reached by flight, not a market we fold into the Balearics, so we treat it as its own build with its own permits and a local crew run from our Berlin desk. The same producer keeps the format consistent so it reads as one activation across the brand’s markets. If you want the German leg, flag it on the brief and we scope it alongside the Spanish islands rather than bolting it on late.

Do you supply on-site staff — hosts, brand ambassadors and security — or only the production?

We supply both. On-site staff come from island rosters — production manager, build crew, hosts, brand ambassadors and security — and scale to each activation. The same producer carries the brief between markets, so the staff are briefed once against one run-of-show rather than re-onboarded per island. If you are bringing your own ambassadors or a head host, we build the rest of the team around them and handle the local rostering and shift planning.

Can you embed a content crew to capture the activation for social, and how fast is the turnaround?

We embed a photo and video team for the activation. The same-day social cut lands that night so the brand has assets while the activation is still live, and a longer-form recap follows after. The content crew travels with the activation across the islands so the look stays consistent, and they are briefed not to cross the main camera if there is a separate campaign shoot running. If you already have a content agency, we slot them into the run-of-show instead.
